Aged Care Online Claiming

What is Aged Care Online Claiming?

Medicare Australia’s Aged Care Online Claiming is a fast and secure solution that allows you to easily transmit forms online and claim directly with Medicare Australia. It was introduced to streamline current business processes supporting the payment of Aged Care subsidies.

Our online claiming solution allows Aged Care providers to transmit claim related data through three different channels:

  1. Online claiming using Web Forms (website).
  2. Online claiming using Business to Business (B2B) (integrated software).
  3. Online claiming using File Upload (integrated software and website).

For more information on choosing the best online claiming channel to suit your organisation, see Choosing an online claiming channel.

What are the benefits of Aged Care Online Claiming?

Aged Care Online Claiming gives your organisation a major advantage by streamlining practices and improving efficiencies and outcomes.

Online claiming will:

  • allow authorised staff to lodge data electronically
  • significantly reduce staff time required to prepare and submit paperwork
  • reduce the time taken to prepare monthly claiming—authorised staff can make adjustments to claims themselves
  • improve the accuracy of payments and related data
  • provide immediate acknowledgement that forms and information have been received by Medicare Australia
  • reduce the need for paper forms and their storage
  • provide overnight business processing with outcomes available within 24 hours
  • allow authorised staff to access care recipient and claim data
  • allow authorised staff to correct and reverse electronic data
  • allow authorised staff to lodge data through Web Forms.

Who can use Aged Care Online Claiming?

Approved providers and authorised staff that are registered with Medicare Australia within:

  • Residential Aged Care
  • Community Aged Care
  • Aged Care Assessment Teams (ACATs).

What are the current functions available?

Depending on the online claiming channel and the software you choose, approved providers and authorised staff can:

  • transmit and update all information necessary for residential and community care claims*
  • view and finalise residential and community care claims online
  • reconcile Aged Care subsidy payments using payment information available
  • view electronic Aged Care Client Records (eACCR) online
  • search and monitor all of the electronic Aged Care data lodged
  • access various information relating to care recipients

*The only exceptions are applications for continuous oxygen and enteral feeding, which will continue to require the supporting evidence of a doctor’s certificate.

Is claiming online secure?

Yes. Depending on the online claiming channel and the software you choose, security will be through either Public Key Infrastructure (PKI) or the use of Medicare Australia’s Aged Care Online Claiming website (which uses authenticated access control and passwords). Both of these options contain high-level security systems for the transmission of electronic data.

What is the future of online claiming?

Medicare Australia is committed to continually improving online claiming through collaboration with the Aged Care sector and software vendors.

We will continue to enhance the capability of the integrated software channels by identifying new online initiatives to make claiming easier for you. At the same time, we will make more forms available through the Web Form channel, ultimately enabling direct entry of all existing Residential and Community Care Aged Care forms through this channel.

Testimonials from our existing providers

Below are a few Testimonials from some of our existing providers who currently use Aged Care Online Claiming:

“The Assisi Centre first started using online claiming in January 2005 when Management Advantage became the first software vendor to be certified for online transmissions with Medicare Australia. With the introduction of Business to Business (B2B) channel with Medicare Australia I can now submit not just my RER, RCS and RDP events but also leave, supplements and liability. I am also able to finalise, check and submit the claim at the end of the month. Plus I have the ability to check on the progress of what I have submitted to Medicare Australia. That way I can ensure that they have received, processed and accepted what I have submitted, or if we have made an error in the data we have submitted. Management Advantage and Medicare Australia have all been there to help along the way to get the B2B channel up and running effectively. We hope to see even more benefits over the coming months as we start to realise its full potential.”
Eileen Kielty
Director of Care, Assisi Centre Aged Care VIC

“The ability to transact electronically with the Commonwealth has had a positive impact on our business processes. Information only has to be entered once in our system before it is sent to Medicare Australia. This reduces the possibility of any error in repeated data entry. If there were any errors in our submission, we are notified either immediately or at the most 24 hours later.”
Ingrid Williams,
TLC Aged Care

“We have been a long term supporter of electronic business and encourage other providers to look at the short and long term benefits to be gained for your organisation in joining us now.“
Phillip Parry,
Torbay Aged Care and Retirement Village
